What information is collected & why?
When a user visits our website, we collect information about the visit that does not identify the user personally. We track information such as the domain, IP address, and user’s browser type from which the user is visiting. We also collect specific information regarding the user’s session on our website. This includes items such as the date and time of the visit and the pages viewed. The information provides a means to serve the needs of our property owners and those visiting our website. Our tracking system also provides a higher level of security on behalf of our property owners and those who visit our website.
Sometimes we ask a user to voluntarily provide personally identifiable information (PII). This information generally includes, but is not limited to, name, e-mail address, resident lot number, postal address, and telephone number. We request this information when the user requests one of the following:
• To sign up or log in for property owner/member website content access
• To receive specific information from us such as upcoming event, inquiry replies, news and announcements, board and committee information
• To correspond with us
• To register to attend an event or activity
• Or any other such activity that we deem necessary
For property owner/members, we store personal information they provide in their user profile. Each user can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
WaterStone POA does not collect any personally identifiable financial or health-related information. We do not intentionally collect information from children under the age of 13.
How is the information used?
Non-personally identifiable information (non-PII) is collected to allow us to analyze how our website is used and to improve the content and service the website provides to the public and our property owners.
Personally identifiable information is collected for analysis to improve the content of the website and the services we provide to the public and our property owner/members.
WaterStone POA owns the collected information and will not sell, trade, or rent the information to others. We may use the information in order to respond to general inquiries and keep our property owners informed on WaterStone information and activities. This may include contact such as follow-up calls, email correspondence, or mail correspondence to follow-up on the contact. We may also provide information to property owners about ongoing activities, board & committee news, or important website changes.
Logged in property owners will be able to leave comments on the site via our contact pages. We collect the data shown in the contact form, property owner’s IP address, and browser user agent string to help spam detection through an automated spam detection service. The general public will not have comment access except when using the general inquiry contact form page, in which data will also be collected to help with spam detection.
Visitors will have use of a visitor contact form page to submit inquiries. All data collected will provide the necessary information to respond to inquiries as well as help with spam detection.
When logged in property owners/members submit a contact form and provide us with their name, address, phone number, email, and lot number, this information is saved while they are a WaterStone property owner/member in order to respond to inquiries. The contact/email threads will also be stored in order to retain a history of communications to more appropriately respond to inquiries.
If a logged in property owner/member leaves a comment on our contact pages they may opt-in to saving their name, email address and website in cookies. These are for the property owners’ convenience so they do not have to fill in details again when they leave another comment on contact pages. These cookies will last for one year.
If a property owner/member has an account and logs in to our site, we will set a temporary cookie to determine if their browser accepts cookies. This cookie contains no personal data and is discarded when they close the browser.
When property owners log in, we will also set up several cookies to save their login information and screen display choices. Login cookies last for two days, and screen options cookies last for a year. If property owners select “Remember Me”, their login will persist for two weeks. If property owners log out of their account, the login cookies will be removed.
If a property owner/member is able to edit or publish an article, an additional cookie will be saved in their browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
We recommend to all property owners/members to always log out. Be sure to have your browser cookies, cache, and browsing history automatically deleted after closing your internet browser. Then if you forget to log out and close your browser, your browser will not store your logged in url address history that someone else could access.

Who we share your data with
In order to accurately and efficiently serve our property owners, we share the data and communications you provide to the WaterStone POA board.
WaterStone Board of Directors also utilizes cloud-based services separate from the website, as part of their ongoing work-in-progress responsibilities and duties on behalf of our property owners. Once the WaterStone POA board and committees complete their work-in-progress, the document will be published via the website to all property owners/members. Our website retains only published document archives in a centralized and consistent location to be available to logged in property owners to access.
How long we retain your data
If property owner/member leaves a comment via our contact pages, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
What rights you have over your data
If you have an account on this site, or have left comments on our contact pages, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
How we protect your data
Our website utilizes several security and tracking programs in order to provide data protection for property owners as well as the website itself. Our contact pages and other pages utilize Recaptcha function to block bots and other problems. Another program blocks failed login attempts for an IP address after reaching maximum retries allowed. This program and our host provider also provide the ability to blacklist any IP address of concern.
An additional security tracking program provides activity auditing, site checking, remote malware scanning, effective security hardening, and post-hack features. Our website host provider also does 24/7 scanning to detect any potential functionality and security issues needing correction. While no online site or service is 100% secure, we work very hard to protect information against unauthorized access, use, alteration, or destruction, and take reasonable measures to do so, such as noted above.
